Case Study: Organizations leverage Innovation Process Design to efficiently and accurately document their processes.
Situation
A Fortune 100 agriculture and processing company needed to document their existing vendor payable process to prepare for integrating two new companies. The organization called on Innovation Process Design due to our consultant’s process expertise and our reliability, as our track record is delivering on time and on target.
Solution
Innovation Process Design consultants first partnered with business leaders to identify scope and resources. The consultants then facilitated interviews with operations and technology users across five major business areas, collecting information, screen shots, example forms and system reports. The consultants then documented the complex process through Visio flowcharts with multiple swim lanes. Specific cycle times, “time for each step”, was provided in the documentation. This was key detail for the new users to understand and plan their work. The consultants also prepared a system and process User Guide, including troubleshooting techniques. To ensure the documentation was complete and accurate, the consultants walked users through the flowcharts and User Guide and then asked the users to test the User Guide in their daily work, providing feedback. The consultants updated the documentation and completed a second and final walk through with users. The leaders and users then signed off.
Result
The client received exactly what they wanted: foundational documents enabling the seamless integration of the two new companies. User feedback was “Your consultants worked hard with our resources to reflect our unique and detailed business steps in the documentation. We also learned a lot about our own processes and their inconsistencies and opportunities.” The entire project lasted less than a month. The client was delighted the project was completed on time, on budget and on target.
